Property management turns ownership into an operating plan: preparation for the intended tenant, pricing and letting, collection and maintenance, and reporting that helps the owner decide. Judge it by the net outcome and the property's condition, not simply whether a tenant has been found.
If you live abroad or own several units, establish responsibilities, spending limits and reporting before handing over management. The following is a practical service checklist, not a statement of standard contract terms in every company or country.
Separate asset decisions from daily operations
Asset decisions concern holding, improving or selling, major expenditure and performance against objectives. Operations concern advertising, viewings, contracts, collections, maintenance and tenant coordination. One provider may handle both, but identify who proposes, approves and executes each decision.
Begin with a condition record covering photos, fixtures, meters, keys and unresolved issues. It becomes a reference for tenant handover and for the end of the management appointment.
Define scope and the fee basis
Ask which tasks are included: preparation and furnishing, marketing and letting, renewals, collections, repairs and utilities. Establish whether a percentage fee is charged on rent due or rent actually collected, and whether tenant placement or renovation oversight costs extra.
Clarify supplier commissions and work approvals. Comparing two proposals requires matching their scope and calculation basis; the lowest percentage alone does not establish the lowest cost.
Make collections and maintenance reviewable
Agree when the owner receives settlements and supporting documents, and how arrears and refundable deposits appear. A refundable tenant deposit is not rental income available to spend.
Set an approval threshold for spending, an emergency procedure and a contractor approval method. Request invoices and a photo or description of completed work, plus a recurring maintenance schedule. Emergency response is not a substitute for preventive care.
What belongs in an owner report?
A short monthly report can combine financial movements and operating status with budget-to-actual differences. This is a suggested reporting brief; the frequency and detail must be agreed in the contract.
- Rent due, rent collected and arrears by contract.
- Actual expenses, fees and the balance payable to the owner.
- Occupied and vacant days, and approaching lease expiries.
- Completed and outstanding maintenance and expected costs.
- Decisions awaiting the owner and their deadlines.
Monitor results and plan the handover
Read net amounts available after operating costs alongside vacancy days, collection reliability and condition. Occupancy can appear strong while payments are overdue; the measures need to be considered together.
